Call for Presentations

Dear accessibility enthusiast,

we would like to invite you to submit a proposal for a talk or presentation for the Accessibility Club Summit 2026 from 9 to 10 May 2026 in Würzburg. More specifically, we invite you to fill one of the expected 6 pre-scheduled BarCamp slots with your presentation. Before submitting a proposal, please read the following information carefully. By submitting your proposal, you agree to the general conditions described.

Information on the Call for Presentations

  • Date and Location: The BarCamp day of the Accessibility Club Summit 2026 will be held on May 9, 2026, at the Technical University of Applied Sciences Würzburg-Schweinfurt (THWS) in Würzburg, Germany. Presenters are required to be physically present on site for their presentations; remote presentations will not be possible.
  • Travel and Accommodation: The Accessibility Club Summit is a community-centred event and is organised non-commercially. Unfortunately, we are unable to cover travel or accommodation costs. However, accepted presenters will receive complimentary event tickets and access to a workshop of their choice on May 10. If this presents a barrier for you, please reach out to us at hello@accessibility.club — we will do our best to find a solution.
  • Submission Process & Anonymity: Our Call for Presentations is anonymous; your name and email won't be shared with the organisers until presentation selection is finished. However, we require contact details to reach you. Marc Thiele, uninvolved in the summit's organisation, will handle your submission to maintain anonymity. Ensure your topic description contains no personal identifiers, including employers, acquaintances, awards or similar, to maintain submission anonymity. Submissions violating this anonymity will be excluded from the selection process.
  • Submission Deadline: Proposals must be submitted by Sunday, March 29, 2026, at 23:59 (Europe/Berlin), and will be evaluated by a volunteer community panel, aiming to select a diverse and valuable mix of topics to advance accessibility.
  • Call for Diversity: We particularly encourage newcomers, people with disabilities, and members of marginalised groups to submit proposals.
  • Selection and Confirmation: Expect proposal evaluation by 5 April 2026. If selected, we'll email you for a commitment within 3 days; failure to respond within 3 days will lead to us considering the next proposal. Once session slots are filled, all other submitters will be informed that their proposal was not selected.
  • Publication: Accepted proposals will be immediately published on our website.
  • Alternative opportunities: If not selected, you can still propose your topic as a BarCamp session on 9 May morning, to run alongside other BarCamp sessions.

Information about your presentation

  • Presentation Language & Length: Your presentation should be in English and between 35 and 40 minutes long — please not shorter, but also not longer, so that we can ensure sufficient breaks between sessions. If you would like to include a Q&A, it must be part of your allotted time.
  • Recording and Use: All selected presentations will be recorded, captioned, and potentially streamed live on the day of the event. By submitting your proposal, you agree to your presentation being recorded, captioned, and potentially live-streamed.
  • Content Guidelines: Your presentation should focus on one of the many areas of accessibility, including conception, design, development, testing, education, social aspects, and more. Presentations intended solely for commercial promotion are not welcome. Ensure that your content offers added value to participants and is freely accessible wherever possible. The jury reserves the right to exclude promotional presentations. Additionally, the jury reserves the right to reject topics that contradict widely accepted best practices in accessibility (e.g., accessibility overlays).
  • Audience Consideration: Your topic may be aimed at experts or offer an introduction for beginners — both are welcome. The jury will aim for a diverse mix of topics and experience levels.
  • Presentation Documents: If you use presentation materials such as slides, we would appreciate it if you could provide them afterwards for publication on our website. We will need your presentation materials — or at least the textual content — by Monday, 4 May 2026, so that we can share them with the live captioner for preparation.
  • Code of Conduct: As a presenter, you are bound by our Code of Conduct. Please ensure that you have read it carefully and comply with it in both your presentation description and delivery.
